Details Tab

The Details tab contains general information about each item.

Note: The trans fat value is provided for informational purposes only and is not used for monitoring purposes.

Item ID
The Item ID is an alphanumeric field with a maximum length of 10 characters. There are a few things you should consider when creating them.

In order for items to sort properly, all item IDs should be the same length. You can add leading zeros if some item IDs have fewer digits to ensure this. For example, if your item IDs are five digits, you would make any item with three characters, such as item 445, into item 00445.

Keep these things in mind as you set up your items:

  • You cannot create items beginning with the letter "U" as this is reserved for USDA items.
  • Do not use the vendor's ID number as the item number. If your vendor changes next year due to bidding, the item number would no longer be valid. You would then have to delete the current item, enter a new item, and change every recipe where that old item number appeared. Secondly, there is the potential for duplicate item numbers using the vendor number method, and WebSMARTT will not allow you to have duplicates.

Item Description
Enter a description for the item. Most screens in EZ Views will only display the first 16 characters. Therefore, try to put the most important information at the beginning of this field.

Descriptions are most useful when they start generally and become more specific. This makes it easier to find an item in a long list. For example, green beans could be listed as BEANS, GREEN, FROZEN or BEANS, GREEN, CANNED.

Note: Since the pack size is visible in the Units of Measure screen, you do not normally need to include pack size in the description unless you stock more than one option.

Item Type
The item type is Basic Food, Recipe, or Non-food.

Important: Once you set the item type and save the item, you cannot change it.

Item Status
The item status is Active, Inactive, or Discontinued.When creating a new item, you cannot set this manually until you have finished the item setup process.

If your district stops using that item, you can set it to Inactive. The Discontinued status is for items that will not be carried in the future, but which are still in the system. Incomplete items are items that were created in WebSMARTT,but never finished.

Note: Never delete an item once it has been included in an inventory and used because you will lose all item history if you delete the item. You can set an item that is not in use to Inactivate an item that you no longer use. An Inactive item can still be inventoried. If you try to order an Inactive item through the Enter Request screen, you will get a warning message.

Short Description
This field lets you enter a brief description of the item. This field is optional, but highly recommended as this feature is used in other areas of WebSMARTT,such as on Menu Plan templates.

Attributes
The HACCP-monitored, Commodity Item, and Allergens options are not editable. They will be filled out as the item is created. The HACCP tab can be enabled through the EZ Views > Setup > District option.

Ingredient List
This field lets you add the ingredient list for the item.This does not refer to the ingredients stored for a recipe, which are called Recipe Ingredients, but rather the ingredient list that manufacturersplace on the labeling for a product. This information is searchable from the Item Search screen and these ingredients will also be available on reports.

You can manually enter this information for Basic Items. For recipes, this information will automatically populate based on the ingredients added on the Recipe Info tab.

Business Process
The Business Process section lets you define which business rules apply to this item. Item reports can also be filtered on these options.

Ordering
If this item is to be ordered, this Business Process must be selected and at least one Ordering measurementmust be defined. In the case where only one measurementis defined, to conform to the legacy tables structures, the remaining UOM levels (2-4) will be calculated as a ratio of one to the defined measurement.After being activated, the item will then be available in the ordering module.

If this Business Process is not selected, this item cannot be ordered.

Inventory
If this item is to be inventoried, this Business Process must be selected and at least 1 Inventory measurement must be defined. In the case where only 1 measurement is defined, to conform to the legacy tables structures, the remaining UOM levels (2-4) will be calculated as a ratio of 1 to the defined measurement. After being activated, the item will then be available in the inventory module. If this Business Process is not selected, this item will not be available for inventory.

Menu Planning
If this item is to be served, this Business Process must be selected and at least 1Serving and Ingredient measurement must be defined. After being activated, the item will then be available in the Menu Planning module. If not selected, you will not be able to enter Serving or Ingredient measurements and this item will not be available to add to a template for usage on a Menu Plan.

Production
If this item is to be produced, this Business Process must be selected and at least one Serving and Ingredient measurement must be defined. After being activated, the item will then be available for usage on a Production Schedule.

POS Item
If this item is a POS item, then select this Business Process. Measurements are not utilized from a POS perspective, but may need to be added for the other business processes selected in conjunction with this. After being activated, the item will then be available to create as a POS item in EZ Views. This additional step in EZViews will also need to be done.

Product Code
Use this field to enter the item's product code, defined by the manufacturer,or the item's UPC code.

Origin Country
Use this field to enter the item's country of origin. If the country of origin is the United States of America, you will also be able to define the state of origin using the Origin State field.

Notes
Enter any other notes about the item in this field.

Serving Image
Click the Browse button to upload an image that will display for the item. You can also remove the image or preview it using these buttons.

Note: The serving image must be 2MB or less.

Thaw Time
For frozen items, you can include a thaw time, in hours, to assist in food preparation.
