Measurements Tab
Defining measurements for an item in WebSMARTT involves selecting or entering a measurement for an item and the conversion factors or weight. Once an item number, description, and type are selected, you must indicate the units of measure that will be used for both production and ordering and inventory.
Ordering and Inventory Measurements
At least one Ordering and Inventory Unit of Measurement must be added with an option to add a sub-unit of measurement.If a measurement has been ordered or inventoried, the UOM description and conversion ratio field are not editable so that previous orders and inventories maintain data integrity. Changing the UOM description for Ordering and Inventory makes this a completely different item. Due to this, it is recommended that a new item is created.
These measurements are also not editable if the item has any serving or ingredient measurements that are being used on Recipes, Templates, Menu Plans or Production Schedules. If this measurement has not been used and is being modified, it is imperative that all conversion ratios from the Serving and Ingredient measures that reference this unit of measure are also adjusted to reflect the proper conversion ratio.
Note: If you change the ordering and inventory measurement for an item that has been ordered or inventoried you will need to run UOM.exe to update the information.
Ordering and Inventory Options
If only one unit of measure is added to this section, both Ordering and Inventory checkboxes must be checked, but if a sub-unit is added, you may choose which checkboxes to select as long as one Ordering unit is checked and one Inventory unit is checked.
Selecting this Ordering checkbox will allow for this unit of measure to be displayed properly when rolling up quantities on Menu Plans and Production Schedules for ordering. It also makes this unit available in the dropdown selections when adding items to Menu Plans and Production Schedules.
If maintaining perpetual inventory, selecting this checkbox will allow for this unit of measure to be used when "Update Inventory" is performed so that inventory is reduced with the appropriate unit of measure.
Serving and Ingredient Units
All serving measurements(for example, scoops) and all ingredient measurements used in recipes are entered here. If a measurement has been used on a Recipe, Template, Menu Plan or Production Schedule, conversion ratios and weights are not editable. Updating conversion ratios and weights can affect nutrient calculations. If this measurement needs to be adjusted, a new measurement must be added and all templates and cycles using these measurements also must be updated.
If volume measurements are to be added, click the Volume radio button. You will be prompted with a pop up window that allows you to select the volume measurement you would like to create. Once you have entered the measurement information, the basic volume measurements are created automatically.
Serving and Ingredient Options
Check the Serving option if this measurementis to be used on a Menu Plan Template, Menu Plan, or Production Schedule. Do not uncheck this if the measurementis currently in use on one of the above.
Check the Ingredient option if this measurement is to be used on a Recipe or added to a Production Schedule Ingredient listing. Do not uncheck if this measurement is currently on a Recipe or Production Schedule.
The Check Usage button will show you all of the menus and production schedules that use a given serving size of this ingredient. It includes the Name and Menu Type of the Template, as well as the status of each planned serving.
You can enter as many serving and ingredient units as you need.
Add Basic Volume Measurement
You can also define volume measurementsafter creating a basic measurement.Click the Add Basic Volume Measurementsbutton. Enter the volume of the measurement and click Save. A list of volume conversions will display based on this setting. You can also now select the Volume option for the measurement instead of Weight.
