Prepayment


The Prepayment Page allows you to add prepayments for individual customers.
You may experience possible balance problems when operating WebSMARTT in an alternate site environment. For example, a student enters a prepayment at Site B. The student eats breakfast at Site A and the network is off-line because of network issues. They later eat lunch at Site B. The balance at the end of lunch is replicated to the Central Office. The Central Office database's balance and Site B's balances are correct, except they don't include the effect of the breakfast that was sold. When Site A comes back on the network it's balance is replicated to the Central Office and then to Site B. The effects of the prepayment (or any other activity) is lost.
Date of Prepayment
This date will default to the system's date. You may change this date. This Prepayment will show on reports for the date selected. The Bank Deposit for the date selected will also be affected.
Total Prepayment Amount
Enter the entire amount of cash or check to be deposited in the customer's account. If you have received one check that is to be split between several customers, enter the total check amount here. If the Total Prepayment Amount and the Prepayment Amount (next field) for this Customer fields are the same money amount, you can TAB through the Prepayment Amount for this Customer field to the next field and the money amount will automatically be filled in for the Prepayment Amount.
Prepayment Amount for this Customer
This field will default to the total prepayment amount you just entered. The only time a different amount should appear in this field is when you are splitting a single amount between several customers. In that case, the total amount is in the previous field, and the amount to be credited to the customer selected is entered here.
WebSMARTT will automatically carry over the difference to the next screen after you click Apply.
Type
Enter the type of payment that was received. The choices are Cash, Check and Promotion, depending on user permissions.
Number of Lunch Credits
Select this button and enter the number of lunch credits that you wish to be added to the customer's account. Simply leave at zero if not using meal credits.
Cash used for Lunch Credits
Select this button if you are not sure of how many credits a certain amount of cash will purchase. Enter the amount of cash and WebSMARTT will calculate it for you based on the lunch meal price.
Number of Breakfast Credits
Select this button and enter the number of breakfast credits that you wish to be added to the customer's account. Simply leave at zero if not using meal credits.
Cash used for Breakfast Credits
Select this button if you are not sure of how many credits a certain amount of cash will purchase. Enter the amount of cash and WebSMARTT will calculate it for you based on the breakfast meal price.
Confirm Button
Select to apply this prepayment to the customer's account.
An error message Warning, you are making a prepayment for an withdrawn or inactive customer appears if you attempt to make a prepayment to a customer who is inactive or withdrawn.
Reset Button
Select to reset the fields to the default so you can start the prepayment over.
Cancel Button
Select to cancel this prepayment.
