Cashier Update

From this screen, you can add a new cashier or modify an existing cashier.

First Name

The First Name Field allows you to modify the information for the cashier's first name. Simply click in the field, then use your keyboard to delete and add information. You can also highlight all the information in the field, and type over it.

Last Name

The Last Name Field allows you to modify the information for the cashier's last name. Simply click in the field, then use your keyboard to delete and add information. You can also highlight all the information in the field, and type over it.

Cashier ID

If adding a new cashier, enter an ID number that the cashier will use to sign-on at the Point of Sale terminal. This number should be something that will be simple for the Cashier to remember. The field has a maximum length of 4, and all characters must be numeric.
You cannot modify the Cashier ID Field from this screen for an existing cashier. If you need to modify the Cashier ID, you must remove then re-add the cashier. Any attempt to modify this field will result in a message stating that you must remove and re-add a cashier to change the Cashier ID Field.

POS Display

The POS Display Field allows you to modify the information for the cashier's Point of Sale Display (first name or nickname). Simply click in the field, and use your keyboard to delete and add information. You can also highlight all the information in the field and type over it.

Check All

By checking the Check All box, the cashier will receive access to all the options. A checkmark will be marked for all the options available. If you check the Check All box when all permissions are already checked, all the permissions will become unchecked. This may be helpful if the cashier is only allowed to perform a few functions.

Permissions

Permissions are the options listed with a checkbox in front of them. Each permission is a task that can be performed while using Point of Sale. If the item has a checkbox marked, then the cashier is able to perform this function. If the box is empty then the cashier cannot perform the function.


Permission

Description

A

Permission to the A key allows a cashier to sell a reimbursable meal to a generic free student.
For example, Suzy is new to school. She brings her application as proof she is free. She is not entered into the system as a customer, but the cashier can give her a meal and use the A Key to track the meal.
Some districts prefer not to allow free generic meals. If access to this key is blocked, the cashier would have to take Suzy's application and make a note that Suzy is new and received lunch. After lunch, Suzy is entered as a customer, her meal application information is entered, a lunch session is started and Suzy is sold a lunch at that time.

B

Permission to the B key allows a cashier to sell a reimbursable meal to a generic reduced student. For example, Joe is new to school. He brings his application as proof he is reduced. He is not entered into the system as a customer, but the cashier can give him a meal and use the B Key to track the meal.
Some districts prefer not to allow reduced generic meals. If access to this key is blocked, the cashier would have to take Joe's application and make a note that Joe is new and received lunch. After lunch, Joe is entered as a customer, his meal application information is entered, a lunch session is started and Joe is sold a lunch at that time.

Finish Account

Finish Account allows the cashier to charge (as long as the district allows charging of meals), use account cash, and use meal credits. For example, Tom has $5.00 in his account cash. He purchases lunch and a candy bar. The cashier selects the Account Key to end the transaction. The cost of the items are deducted from his account cash.
If a district does not allow customers to charge meals and place money on account, they may choose to not use the Account permission.

Alpha/Name
Search

Alpha/Name Search allows a cashier to look up a student by their last name if they forgot their ID card or PIN number. For example, Sally forgot her card for
breakfast. The cashier can use alpha search to locate Sally by her last name and sell her a meal.

Some districts choose not to use this option as it can be time consuming and could slow down the lines. Another option is to keep this permission active, but have the cashier write down the customer's name and search for the customer once the
line is gone, such as at the end of the meal session.


Enter Deposit/POS Client

Indicates whether or not the cashier will be able to enter a deposit at the POS Client. The default for this field is checked. If the setting is not checked, when signing off POS Client, the cashier will not receive the pop-up asking if they want to enter the cashier deposit.

Delete/Clear
Current

Delete/Clear Current allows the cashier to delete or clear a transaction before it is completed. This option is helpful when the cashier is new and may accidentally select the wrong information. For example, Sam has 3 cookies in his hand. The cashier begins to enter the transaction, and Sam decides he also wants a juice. He then states he only needs 2 cookies, and thinks milk goes better with cookies. At this point, the cashier can delete the transaction and send Sam to the end of the line to allow his some time to think about his meal choice for the day.


Some districts choose not to use the Delete Key since using it frequently may be a sign that the cashier is taking money (deleting the transaction and pocketing the money).

Earned

Earned allows a cashier to track a la carte and meal items sold to those who earn their meals. This key can be used for both adult workers, as well as student helpers. For example, Alice is a student who assists during lunch and in return receives her lunch meal free. Alice's meal status is paid. Alice enters her PIN number like the other customers, but the cashier uses the earned key to end this
transaction. No money is expected for this transaction and Alice's meal is included
in the total for paid meals eligible for reimbursement from the government.


Districts who do not wish to track earned meals usually disable this option.

Queue/ID#

Queue/ID# is used when manually entering a customer's ID at the Point of Sale terminal. Using this key indicates that the entry made is an ID number and not a dollar amount. For example, Patten forgot her ID card but knows the number on her card. She says her number and the cashier enters it and selects the Queue/ID# Key.


Most district choose to use this option since the customers learn their identification number and some times forget their cards.

Prepayment

Prepayment is used to enter a prepayment for a customer at the Point of Sale. For example, Scott's mom gave him $5.00 for lunch for the week. Scott gave his money to the cashier. The cashier enters the payment by using the Prepayment Key while remaining in the breakfast session.
Note: Even if the cashier is in Single Action Mode, she can enter a prepayment using the Prepayment Key without selling the child a meal or getting out of single action mode.
Some district choose not to use this key. If this is the case and the cashier receives money during a meal session, she can use the Account Key to enter an "overpayment" or sets the money aside and enters the prepayment through the Prepayment Page.


Reverse/Void Last

Reverse is used to reverse or remove a completed transaction. To use this key, press the Reverse Key and then enter the transaction with the exact keystrokes used to record it the first time. The program will display a "reversed" message
once the transaction is completed. You cannot reverse a prepayment through this
key. For example, Al has 3 cookies in his hand, and the cashier completes the
transaction. Al decides he wants only 2 cookies but the transaction is already
ended so the cashier can't remove the items. The cashier uses the Reverse Key
then reenter all the keystrokes to remove the transaction. Once the incorrect
transaction is completed she enters the correct transaction. She cannot "net out"
the difference between the incorrect transaction and the correct one transactions
(void only 1 of the cookies).
Caution: We do not recommend using the Reverse function. The Void Last option on the Menu screen or the Void key is preferred.
Districts choose not to use this form of removing transactions because it is time consuming and at times hard to remember what was originally entered. The Void Last option is used if the error just occurred, or the cashier can note the time and name of the customer, then void the transaction later using the transaction log and the menu option.

Single Action
Mode

Single Action Mode (SAM) is used to ring up a default item or combo to customers without having to press the item key and end the transaction each time. This function does require the cashier to end the transaction when money is due. For example, Sunshine Elementary only sells breakfast combos during breakfast. The cashier selects the breakfast combo key within single action mode and finds breakfast goes much faster than if she had to enter each individual transaction.


Districts that sell a lot of a la carte items and have a variety of transactions that can be selected during a meal session usually choose not to use Single Action Mode. Keep in mind, a district can choose to use Single Action Mode for certain sites or meals and not use it for others.

Taxable/Adult

Taxable/Adult identifies the customer as an adult. This is used when the adult is paying with cash rather than using their ID number. If the adult is using their ID number, the transaction will automatically be recorded as an adult transaction. This key is helpful when substitute teachers or parents visit and eat lunch at the cafeteria. For example, Miss Kay is a substitute teacher and she travels to various schools within the district and does not have her own account within the system. The cashier uses the Taxable/Adult Key to ensure Miss Kay is charged the adult price for her meal.


Some district don't sell adult meals, or everyone is required to have an account in the system, so this function is not required.

Bulk Entry

Indicates whether or not the cashier will be able to sign-on Bulk Entry.

Items

Items allows the cashier access to the Item Keys. Without access to the item keys, the cashier could not successfully enter transactions during a point of sale session. This option should be active for every cashier. For example, if Missy purchases a lunch combo and an extra milk, the cashier must use the lunch combo and milk item keys in order to successfully enter the transaction.

If a district disabled this function they would not be able to select items to sell during a Point of Sale session.




Tend/Finish Cash

Tend/Finish Cash is used to end transactions when cash is received. For example, Lana receives .30 for milk sold to Mark. She uses the Tend/Finish Cash Key to end the transaction because she received cash as payment for the milk.


Districts that do not allow cash to be taken during meal sessions usually choose to disable this function. They would use the account button to end the transactions.

Change
Keyboards

Indicates whether or not the cashier will be able to change keyboards. If the checkbox is checked you can change keyboards in either the POSClient or the Point of Sale terminal.
Tip: The ability to change the keyboard is found under the Advance Menu key for POSClient, Mira or Mira-IP. The Model 4B & 4C has the key labeled as Menu with the same functionality.
Note: If "Change Keyboards" is not checked, when the cashier tries to use the functionality to change keyboards, a "Keyboard Change NOT ALLOWED" message will appear.

Save

Click Save to save the changes you have made.

Cancel

Click Cancel to discard any changes you made and return to the Cashier Select page.
