Editing Production Schedules

From the Search Results, click the Edit link for a production schedule to edit that schedule. There are seven production schedule statuses.

  1. Created
  2. Planning
  3. Planning Complete
  4. Generating Orders
  5. Pre-Production
  6. Post-Production
  7. Updating Inventory

This screen displays only recipes associated with the selected production schedule. The production quantities are based off the Menu Plan projections. You can change these values, if needed, by entering new values in the Production Qty1 and Qty2 fields. You can also click the Change link in the Prod Date column to move the recipe to a different date.

If you make any changes, click Save. Otherwise, click Planning Complete when you are done.

Planning Complete
After you press the Planning Complete button, the following screen will display estimated on-hand quantities and the rounded-up order quantities for the recipes.

At this point, you can run the pre-production worksheet to show scaled recipes based on the projected quantities from the menu plan.

Generating Orders
Depending on the permissions in WebSMARTT security, you will have the option of generating orders or to skip generating orders. Clicking Generate Orders will create saved orders in the ordering tab for all of the ingredients in the recipe. Clicking Skip Generating Orders will bypass the ordering and move you directly into pre-produciton. You can also click the Redo Planning button to return to the Planned tab. Be careful before clicking Generate Orders or Skip Generate, because once you click either of those buttons, you cannot redo planning.

If you click Skip Generating Orders, you will be prompted to confirm your choice.

If you click Generate Orders, you will see the Order Generation screen.

In the Order Generation screen, the start of the date range will default to the current date. Select the end date for which you want to find production schedules to order for and click List Production Schedules. The information bar will update if the selected site uses perpetual inventory.

Once the schedules that you need to order for are in the list, click Generate Orders. Orders will only be generated for production schedules with a status of Planning Complete. You will be redirected to the View Ordering Status page for this step. This step may take a few minutes.

Once orders have been generated, you will be notified that the orders were generated successfully and the production schedule will move to the Pre-Production stage.

At this point, you can access the Ordering tab to update and submit any saved orders.

Pre-Production
On the Pre-Production screen, you can do the following:

  • Set the Shift so the Pre-Production report can be sorted.
  • Update production quantities if you had to make extra servings.
  • Enter notes as to why you are making a change.

Additional recipes would be added from the menu plan screen. If you add a recipe to a menu plan, that recipe will appear on the production schedule automatically.

If using perpetual inventory, when you change the serving quantities, you will want to press the Inventory Validation button to recalculate the quantity unit to reflect the new ingredient requirements. Ingredients highlighted in yellow indicate an insufficient on-hand quantity. Click the paper icon to see what recipe the ingredient is in, as well as any requirements that recipe has for the ingredient.

Click Pre-Production Complete when you are done.

Post-Production
Post Production allows you to update production quantities and notes if you had to make additional servings.

Once you press Post-production complete, you will be able to run the post-production worksheet. This displays the ingredient usage summary for a production schedule item used for a site. You can also run the Food/Nutrient Based Production Worksheet (Blank) report. This enables you to fill in a blank production record.

You will run the standard Food/Nutrient Based Production Worksheet after serving is complete.

Update Inventory
If you are using perpetual inventory, the user will have the ability to change the quantity of the basic items used and substitute an item.

The item displays highlighted in yellow if there are insufficient quantities on hand. Make sure you have received any orders that have been ordered and delivered, and verify that the on-hand quantity is correct. You can update the production usage QTY 1 and to round up or change quantities. You can also zero out the production quantities if substituting an item.

Substitutions
If any substitutions were made, enter the new item by typing the item name or item number in the Item ID/Description field.

  1. Click the yellow magnifying glass icon to search.
  2. Choose the correct item from the smart search by clicking the ItemID or Description.
  3. Set the production usage quantities to 0 for the item being replaced.
  4. Update the new production usage numbers for the newly added item.
  5. Click Inventory Update Complete.
  6. Review the top of the screen for any warning messages stating insufficient quantities.
  7. Review the ingredient requirements and update the production units to the correct numbers, or perform another substitution for the correct item.
