MySchoolApps User Guide

This guide is intended for users of different degrees of knowledge and experience with MySchoolApps - the online application system. It provides detailed instructions, guidance, and explanation of the system and the tasks necessary to complete your job in the most efficient manner possible. As staff roles may vary from District to District, refer to the Users section of the guide to view permission levels for employee roles.



MySchoolApps Navigation

Top Navigation

Links are located at the top of the District window for quick navigation between major operations within the system. 

Side Navigation

Side navigation is located in some of the screens to allow quick navigation to a major operation or specific section of the selected operation.


User Guide Navigation

As you read through this guide, you should see the majority of instructions broken down int steps. Many words have been noted in bold to assist in locating the appropriate action step.  Images contain highlights, arrows, and notation to assist in proper understanding and navigation while performing tasks.

All expansions are visible when exporting a page or space to MS Word or PDF formats. For details on exporting documentation, refer to Printing & Exporting in Confluence in the Tips section of the Knowledge Center.

Table of Contents

The Table of Contents provides links to sections on the page to allow quick navigation and access to information.

Additional Links are provided in the documentation.  The links are to additional pages within the MySchoolApps space, other reference material in the Knowledge Center, and external websites.

Navigation of the MySchoolApps space can be accomplished through links, the sidebar, or the breadcrumb trail. You may also use the Recent or Spaces drop-down menus at the top of the page to find what you’re looking for.

There are various ways to search within Confluence. 

  • Global Site Search - You may use the top search panel to conduct a search across the entire Confluence instance. This will generate a broad list of all available keywords throughout all spaces. e.g. Menus would return suggestions where "menus" appears in the entire instance with suggestions in the Newton, Edison, and the General Knowledge Center spaces.

  • Specific Space Search - You may use the space search, located at the top of every manual page to enter keywords and return suggestions specific to the space/manual in which you are conducting the search. e.g. Serving Line will return suggestions where "serving line" appears in the Newton manual.


Accessing the Administrator Console

Access to the MySchoolApps admin console is limited to District users only.  Parents (or anyone submitting online applications) do not have accounts in the system.  The admin interface URL is located at  https://www.myschoolapps.com/Admin.

Your account should have been set up by a user at your District with DistrictAdministrator role privileges OR at the initial system configuration/setup by Heartland.  If you need an account, please consult a user in your District with the necessary privileges so they can create one for you.

The admin interface can no longer be used with Internet Explorer 6 or 7.  Please use a modern standards compliant browser such as the latest Google Chrome, the latest Firefox, Safari 5+, or Internet Explorer 8+.

To return to the MySchoolApps Administration homepage, click on the MySchoolApps logo in the upper, left corner of the page.

The District Dashboard displays the number of applications received Today, the Last 7 Days, the Last 30 Days, and the Total (all Time). You can use these numbers to compare the number of applications brought in during synchronization with Franklin/MSA Client.
