Overview

This document covers several MSA items that are specific to Mosaic Point of Sale.

 


Recognize Imported Eligibility Records in Mosaic

The Scanned App# field and the Scanned Batch # field appear for imported applications.

The Scanned App # represents the app number in MSAClient.

The "O" in the batch number indicates it came from online and the remaining number is the date the app was received in MSAClient - notice also how the effective date matches the date received in MSAClient (not necessarily the date imported to Mosaic)

Viewing and Printing Import Results in Mosaic

Perform the following steps to access the import results within the Mosaic Managers Website.

  1. Select Eligibility (F&R) from the left-hand navigation bar. Then, select Eligibility Management > Application Import, and choose MySchoolApps Import from the list.

  2. Select the Results tab.

  3. Configure the desired Start Date and End Date using the calendar tools, and then choose your Result Type and Display Type from the drop-down menus.

     

  4. Click Display Report.
    Note: Make sure to select “Display Report” instead of “Import Data.”  Select to import data isn’t a problem but it won’t display the report.

 

Import Report Breakdown

The following image is an example of the Mosaic MySchoolApps Import Report, followed by a breakdown of the contents of the report.

Scanned Batch #

This is the original entry date of the application. All online applications will have the letter “O” in front of the date.

Scanned Application #

This is the application ID that is assigned by MSA Client. 

Application ID

This the official Mosaic Application number. This number is assigned by Mosaic when an application is successfully imported.

Match

This indicates if Mosaic was able to successfully match an application to a student.

Error

This indicates if there were any errors encountered by Mosaic when attempting to import.

Description

This offers an explanation behind any errors that Mosaic encounters when attempting to import.


Notification Letter Setup - Creating/Viewing/Modifying

Select Eligibility (F&R) from the left-hand navigation bar. Then, select Setup > Notification (Letters) Setup.

The letters rely on "Merge Fields" to appropriately apply the student information. 

Headers and Footers can be modified to include district logos or other information.

Printing Notification Letters

Result Notification Letters for MSA apps are generated in the same location as other eligibility notification letters. Perform the following steps to print Result Notification Letters.

  1. Select Eligibility (F&R) from the left-hand navigation bar. Then, select Eligibility Management > Notification (Letters).

  2. Select the appropriate Notification Letter from the drop-down menu, and review all other fields to customize the display of your printable letters.

     

Emailing Letters

Mosaic has the ability to email Notification Letters provided students have an email listed on their student record.

Perform the following steps to email letters.

  1. Perform step 1 from the previous section. You should end on the Notification (Letters) page as seen in the image above.

  2. Optional: “Display Letters” once before sending the email with "Has Email" blank so the entire listing of letters is displayed. This can be saved to pdf and serve as a definitive record of who should have received the emails. 

  3. Select Yes from the Has Email drop-down menu to generate emails for all students with emails listed in Mosaic.

  4. Select No from the Has Email drop-down menu to display printable letters for all students who do not have an email on file. These letters can then be mailed as usual.


Managing Import and Export Tasks

Two tasks are setup in the Scheduler Task area to help Mosaic communicate with the MSA system on a daily basis. Install technicians typically set the tasks to run for one year at a minimum. If these tasks aren’t running the MSA system won’t be updated with new students and MSA applications won’t be automatically imported into Mosaic.

Perform the following steps to view Import and Export tasks.

  1. Select Setup from the left-hand navigation bar, then select Scheduler Task.

  2. Look for the tasks that begin with “MSA” or “MySchoolApps”. There should be two tasks in the list. One for exporting a student list from Mosaic and one for importing applications from the MSA system.
