Instructions for Submitting Application Revisions

In 2024, we will continue to design and modify all Free & Reduced Manual Applications for scanning and zoning at no charge through July 19, 2024; However, late submissions for Application Design/Updates after July 19, 2024, will incur a fee of $199 as this has a large impact on our ability to respond to critical Start of Year activities. This timeline provides adequate time to send updates and inquiries while ensuring your district is set up to accept paper applications for the start of the school year. There will be no additional fee for application zoning based on calendar time. Thank you for your partnership, and we look forward to assisting you with the start of school readiness for your operation.

Do not create an app zoning appointment until the MCS team has confirmed that all app revisions and prototypes are completed and sent to the MCS team. Failure to provide the necessary app information will result in the cancellation of your appointment.

Submitting Applications for Revision

Please read this document in its entirety before proceeding with your changes.

  1. The District should thoroughly review the application with all parties involved to determine all application revisions for the upcoming year.

  2. Submit application changes through Customer Connect or email a request to Support with the following subject: 2024 - 2025 Meal Application - [District Name]

  3. Support will return the district’s application for review of potential revisions. The application will be returned via email in the form of a PDF file accessible for viewing with Adobe Acrobat Reader. The email will contain detailed instructions for the next steps.

  4. The District is to verify revisions with all parties involved in the process and if further revisions are needed, reply to the email that was sent with the revised application.

  5. Once Revisions are verified and sample applications have been printed from the same print source you will continue to use for the upcoming year, the District will schedule a time for Support to zone your application through the link below.

EACH DISTRICT IS ALLOWED 3 SETS OF REVISIONS PER LANGUAGE. ANY DISTRICT NEEDING MORE THAN 3 REVISIONS PER LANGUAGE WILL BE CHARGED A FEE OF $150 PER SET OF REVISIONS.

Paper Meal Application Prototype

We ask that all Districts not using an application from a previous year (designed to be used in Franklin or MSA Client) begin with the USDA prototype.

The USDA prototype below has been modified to work optimally within Franklin and MSA Client. None of the fields from the original prototype have been removed; We have only added fields to better process the applications inside the program.

The school code field was added for Districts that wish to use that field, but can be removed.

 


English Applications

There are two recommended ways to send application revisions to Support. Districts are encouraged to apply both methods to ensure the correct revisions are done efficiently:

  1. Create a step-by-step, descriptive MS Word document stating each particular revision, starting from the top of the application to the bottom.

  2. Create a PDF markup of the current application in Adobe Acrobat Pro. If you do not have Adobe Acrobat Pro, you may mark up a hard copy of the current application, scan it, and attach it with your MS Word markup.

Open the current application with Adobe Acrobat DC and add a comment text box over the exact part of the application you need to have revised by completing the following steps:

  1. Click the Tools tab, then select the Comment option. You may also select Comment from the right-side panel.
    After selecting, you should be returned to the application.

     

  2. Select the yellow comment icon to enable the comment curser. Your mouse will then look like the comment icon.
    Click the area of the application you would like to have revised.

     

  3. Enter your comment for the section of the application you chose. Click Post when finished.
    Repeat this step until you have made all of your desired comments.

     

  4. After completing all your revisions, select File, then Save As to save the document to your desired location. Email the revised application and the prepared MS Word document to your assigned Support representative.

PDF Hard Copy

Write your revisions clearly on your hard copy.

All hard copy mark-ups must be legible to ensure accurate revisions.
