Newton Software Capabilities to Aid in an Audit
This section provides you with various reports within Newton that will aid you in the audit process.
Main Reports
Recap and Reconciliation Report
Step 1: Locate the Reports and Letters tab. Then, click on Sales & Revenue and select Recap and Reconciliation.
Step 2: Establish the report parameters in the Recap and Reconciliation window and click Ok when you are finished.
- Date Range (inclusive) - Select a date range using the drop-down menu.
- Filter by Cafeteria - Use the drop-down menu to select a single school by cafeteria, region, or cluster. You may also choose the entire District.
- Options - By default, all options are selected. Uncheck the boxes to reduce report options to be included.
Step 3: Review the report details.
The report shows daily counts and totals for the date range selected.
Use the blue disk icon to save the report, the printer icon to print the report, or the paper/green disk icon to export the report.
Federal Edit Check
Step 1: Locate the Reports and Letters tab. Then, click on Sales & Revenue and select Federal Edit Check.
Step 2: Establish the report parameters in the Recap and Reconciliation window and click Ok when you are finished.
- Date Range (inclusive) - Select a date range using the drop-down menu.
- Filter by Cafeteria - Use the drop-down menu to select a single school by cafeteria, region, or cluster. You may also choose the entire District.
Step 3: Review the report details.
The report shows daily counts including meals served, enrollment, and attendance numbers.
- A row will be flagged with one of the following codes if any of the following issues occurs:
A | Exceeds applications on file |
---|---|
B | Exceeds eligible times attendance factor |
D | Exceeds average daily attendance |
- If more than one issues occurs, the day will be flagged with an asterisk * and a message will appear above the Comments section.
- A manager signature line is included for best practice of confirming amounts.
Use the blue disk icon to save the report, the printer icon to print the report, or the paper/green disk icon to export the report.
Additional Reports
Function Key Sales
Step 1: Locate the Reports and Letters tab. Then, click on After Posting and select Function Key Sales.
Step 2: Establish the report parameters in the Recap and Reconciliation window and click Ok when you are finished.
- Date Range (inclusive) - Select a date range using the drop-down menu.
- Filter by Cafeteria - Use the drop-down menu to select a single school by cafeteria, region, or cluster. You may also choose the entire District.
Step 3: Review the report details.
The report shows any function key sales that occurred, the item description and cost of the item. Totals for all function key sales are located on the last page of the report.
Use the blue disk icon to save the report, the printer icon to print the report, or the paper/green disk icon to export the report.
Record of Attendance
Step 1: Locate the Reports and Letters tab. Then, click on Sales & Revenue and select Record of Attendance.
Step 2: Establish the report parameters in the Record of Attendance window and click Ok when you are finished.
- Cafeteria - Use the drop-down menu to select a school cafeteria.
- Date Range (inclusive) - Select a date range using the drop-down menu.
Step 3: Review the report details.
The report shows daily attendance accounts, benefits, and eligibility.
- A column will be noted with one of the following codes:
F | Free Lunch |
---|---|
R | Reduced Lunch |
P | Paid Lunch |
O | Other Purchase |
A | Adult Lunch |
C | At Cost Lunch |
I | Inactive |
- Total meal counts are given at the end of the report.
Use the blue disk icon to save the report, the printer icon to print the report, or the paper/green disk icon to export the report.
In addition to the recommended reports, you can run Deleted Transactions, Duplicate Customers, Adjustments to Student Accounts, and Cross-Site Multi-Reimbursable reports to prepare for an audit.
