Once a customer has been located and selected, you can sell a meal/item(s), add quantity sales, add a payment, take/change a photo, void a sale item (if allowed), enter amount tendered, give change, allocate funds, and add a comment. Additionally, if funds are not available, you may be prompted to transfer money or collect money from a customer if charges are disallowed. The serving line chat function is also available.

Enter Sales Items
Select the items you are selling to the customer by double-clicking on the item from the list, entering the item POS ID number, or choosing the item(s) and clicking Ok.
Accept Payment for Items Purchased
Once all sale items have been established, the total sale amount will be displayed. If the customer has unallocated funds available, that amount will be deducted from the total sale price. The payment due after calculations have been made is displayed and highlighted in red.
If more than one meal has been sold during the process, a warning will appear. Click Ok to proceed with the additional meal sale.
Select a type of payment to complete the sale.
- The customer is not required to make a payment (the payment due is $0.00 and highlighted in green) - No further action is necessary because the customer's status is free or there are still funds in the account to cover the cost. Click Ok to proceed to the next sale.
- The customer is paying cash for the exact amount due - Click the Quick Pay button or simply click Ok.
- The customer is paying cash for more than the amount due and wants change back - Enter the amount received in the payment box (highlighted in blue) in the keypad area. Next, click the Give Change button and click Ok. The cash drawer will open and the amount of change due will be displayed. Then. click Ok to continue.
- The customer is paying cash for more than the amount due and does not want change back - Enter the amount received in the payment box (highlighted in blue) in the keypad area and click Ok. The remainder of the amount received will be applied to the customer's account.
- The customer is paying cash for more than the amount due and wants some change back and some funds added to the account - Enter the amount received in the payment box (highlighted in blue) in the keypad area. Next, click Allocate Funds and enter either the amount of change requested or the amount of funds to be applied to the customer's account. The Change and Adjust +/- amounts will automatically adjust.
- The customer is paying by check - Enter the amount received in the payment box (highlighted in blue) in the keypad area. Next, click the Check button and enter the check number. Then, click Ok.
- The customer is paying by credit card - Enter the amount received in the payment box (highlighted in blue) in the keypad area. Next, click the Credit Card button and complete credit card information. Then, click Ok.
- Card Type - Select the correct card type.
- Last 4 of Card Number - Enter the last 4 digits of the credit card.
- Authorization Code - Enter the authorization code (typically located on the back of the card).
- Sale Amount - The sale amount reflects the amount entered
- The customer shows an amount due, but has no form of monetary exchange - If allowed, the customer may charge the balance or transfer funds from a sibling.
- Charging - If charging is allowed, enter zero (0) in the payment box (highlighted in blue) in the keypad area and click Ok. You may be prompted by the Charging Required window depending on serving line settings. Click Charge and Continue to proceed with charging the sale. If you are not prompted by the Charging Required window, the charge has been completed.
Transferring - If the customer has a sibling with unallocated funds available and a transfer has been authorized, you may be prompted to transfer funds once you click Ok. Click Transfer Money from Sibling and complete the information in the Transfer Money window. Then, click Ok.
Additional POS Screen Options
Show Photo
The Show Photo option allows you to view the customer's photo in the POS sale window. You can also take a new photo of the student if equipment is available.
- Click the Show Photo button.
- Click the Take Photo button to take a photo of the customer.
- Once the customer is aligned in the camera in the preview (in the left panel), click the Snap Picture button. The snapped picture will appear in the right panel. You may continue to snap pictures until you have an acceptable one. When you are done, click Ok.
The customer's photo will appear in the sale screen. You may click Hide Photo at any point.
Payment Only
If the customer is only making a payment, click the Payment Only button and complete payment procedures as you would when selling a meal/item.
Quantity Sale
Quantity sales can be made if a customer is purchasing more than one of the same item.
- Click the Quantity Sale button. The button will flash indicating a quantity sale is about to take place. Then, select the item from the list and click Ok or press Enter.
- In the Quantity Sale window, enter the number of items being sold. Then, click Ok.
The items will be added to the Items Sold area and payment calculated. Complete the sale through normal procedures.
Voiding a Sale Item
If you have chosen an incorrect item to sell, you may void an item from the sale list (if authorized).
- Select the item by clicking on it in the Items Sold area. Then, click Void Item.
- Void Item will appear in red and flash. In order to continue with the void, click Ok or press the Enter button. Click the Cancel button to return to the Sale screen.
Complete the sale through normal procedures.
Comment
The comment option allows you to enter any comments in regards to the transaction. These comments provide additional information for back office personnel about a transaction.
Click the Comment button and enter your comments about the transaction. Then, click Ok.
Chat
The Chat button allows you to send and receive messages between other serving lines and the main/back office computer. (This information is also displayed in the Customer Selection screen.)
Sending Chat Messages
- Click on the Chat button located in the lower, right-hand corner of your screen.
- Click the Say button to begin a query of all available users who are currently logged in and attached to the site location.
- Choose a selected user or Send to Everyone attached to the site location. The Send to Everyone option is an ideal tool to covey important messages quickly. Then, click Ok.
- The on-screen keyboard instantly appears allowing you to type the message by using the keyboard, mouse, or touch screen. Click Ok to send the message.
Receiving Chat Messages
Line operators are alerted to new instant messages through the color changing blink of the Chat button.
Click the Reply button to respond to messages received. Enter your reply and click Ok to send the message.
The entirety of the conversation remains in the Chat window. Those participating in the conversation are identified and time stamps are displayed.
Allergy & Special Diet Alert System
The Allergy & Special Diet System adds the ability to specify special diets and allergens on items and customers. It also provides the appropriate warning on the serving line.
If an attempt has been made to sell a line item which contains an unapproved special diet or allergen, a warning window will appear with a loud audio warning.
The Chat function is available to contact the Site Supervisor for approval.
- Click Cancel to return to the sale menu and make adjustments.
- Click Ok to continue with the sale.
If you choose to continue with the sale, enter a comment to explain why you have sold an unapproved special diet or an item containing allergens to a customer. Click Ok to submit the comment.
