Overview

The Mosaic Student Data Importer is a utility which converts Mosaic student import data to a format which allows the student data to be successfully imported into MSA Client.
Running the converter utility helps to protect data integrity.

Before moving forward through any step, be sure to thoroughly read and understand all prompts, messages, and warnings to the best of your ability.

Support approval is required to Convert all Student SIS Keys to use Mosaic Student Number


The system is designed to protect clients against any mass changes that seem suspicious in order to protect the integrity of the system.

When running a student data import in MSA Client, the client will receive a warning message if the import results in changing, adding, or inactivating 10% or more of the total students already in the database. The client may confirm the changes and continue with the update process.

If the import results in adding 20% or more of the total students already in the database, an authorization request must be completed and released by an authorized HSS Support representative. The proper procedure is to submit a request case with comments to Support prior to making changes. This will allow a Support representative to schedule a time resulting in the least impact on your staff and their daily operations.

For the Mosaic Student Data Importer, a support representative with Admin-level access will need to be engaged prior to making changes.

All suspicious requests should be spot-checked to ensure data integrity is maintained.

Ensure the District is selected in System Settings

Before using the Mosaic Student Data Importer, make sure the District is properly selected within System Settings.

  1. From the Admin & Maintenance tab, select System Settings.
  2. Click the ellipsis button to find and select the correct District from the list.

Setup the Mosaic Student Import

  1. From the Admin & Maintenance tab, select Miscellaneous Setup.
  2. Select Student Importers.
  3. Click Add to add a new Student Importer. Choose Mosaic Hosted. Then, click Ok.
  4. Enter a name for your Mosaic Student Import. Select additional Import preferences.
  5. Select Configure.
  6. Enter the Remote Filename for your Student Import file. Click Ok.
  7. Click Ok on the Setup Student Importer window.

Run the Convert to Mosaic Student Data Importer Utility

The Mosaic Student Data Importer is a utility which converts Mosaic student import data to a format which allows the student data to be successfully imported into MSA Client. It is used to properly identify each student in your import file so that running the import doesn't create duplicate students or change the wrong student information.
Run this converter before you run the Mosaic Student Data Import.

The conversion utility should only be run once.

  1. From the Utilities tab, select Advanced.
  2. Select Convert to Mosaic Student Data Importer.
  3. Select Yes to proceed past the warning.

    Read the warning in its entirety.

  4. Select Submit Request to gain Authorization to run the Mosaic Student Importer.
  5. Enter the reason for your request in the comments window. Then, click Ok.
  6. Wait for approval from Support. Once approved, the converter utility will run automatically in the background.

Run the Mosaic Student Import

The system is designed to protect you against any mass changes that seem suspicious in order to protect the integrity of the system.


When running a student data import in MSA Client, you will receive a warning message if the import results in changing, adding, or inactivating 10% or more of the total students already in the database. You may confirm the changes and continue with the update process.

If the import results in adding 20% or more of the total students already in the database, an authorization request must be completed and released by an authorized HSS Support representative. This will allow a Support representative to schedule a time resulting in the least impact on your staff and their daily operations.

  1. From the Admin & Maintenance tab, select Student Importers.
  2. Select the Mosaic Student you previously created.
  3. Select Run Now.

  4. Analyze the import results.

    1. Select the Show Change Types checkboxes to filter the different types of change happening in the file.

    2. Click the plus (plus) sign to expand the details of the changes for each record.

    3. Verify the student information is correct and/or not blank (e.g. A student's last name is not changing to an address, etc)

    4. If any of the change numbers seem incorrect, click Cancel.

      If you have a large school District, only the first 10,000 rows will be displayed.


      Carefully look over the results of the import to ensure that all changes are intentional and correct.
      Pay attention to which fields are being changed in the import and why.

  5. If you accept the import as successful, select Ok to save the changes.
    If you do NOT want to accept the import (it is suspicious), select Cancel to ensure these changes are not saved.

  6. The system may find a massive amount of changes suspicious. If you have spot checked the changes and agree to commit the changes, click Yes.

    See details at the beginning of this section for what is considered suspicious and what requires higher-level authorization in order to commit changes.


  7. If higher-level authorization is necessary, the following window will appear. Follow the instructions from your Support representative. Once approval has been granted, the Authorization Required window will disappear and the changes will complete.

    1. Submit Request - Requires a comment entry why changes are being requested. This allows accurate tracking of why changes are being made and who is requesting the changes.

    2. Manual Approval - If you are connected to a Support representative, they may prompt you to click this button and enter an authorization code.
