MSA Client Beginning of Year Instructions - 2017-2018 School Year

The following document will guide you through running the Beginning of Year procedure in MCS Client.

Microsoft Task Scheduler

You should consider re-enabling scheduled jobs in Microsoft Task Scheduler such as enrollment systems updates, nightly jobs, etc. prior to attempting the Beginning of Year process. Please note, if your enrollment system inactivates all students at the End of Year, you may need to coordinate re-enabling this job with the enrollment system department. It should first be confirmed the enrollment system department has readied data for the upcoming school year and have generated a new update file for food administration prior to re-enabling any jobs.

Frequently Asked Questions

I see critical alerts when I login to the system. How do I handle this?
It is normal to see critical alerts once the End of Year process has completed.  This occurs because the system's Scheduled Jobs have not yet been completed for the new database.  The critical alerts will clear once the scheduled jobs have completed (typically at midnight) or you may choose to manually run Scheduled Jobs.



Login to MSA Client

Run Student Information System Import File 

Student Importers allow you to import your Student Information System (SIS) file into the system.  Due to the number of changes made during the End of Year process, you will need to run the Student Importer to establish MSA Client for the upcoming school year.  Files may be imported as simple text files or through SQL Server statements.

The system is designed to protect you against any mass changes that seem suspicious in order to protect the integrity of the system.

When running a student data import in MSA Client, you will receive a warning message if the import results in changing, adding, or inactivating 10% or more of the total students already in the database. You may confirm the changes and continue with the update process.

If the import results in adding 20% or more of the total students already in the database, an authorization request must be completed and released by an authorized HSS Support representative. Proper procedure is to submit a request case with comments to Support prior to making changes. This will allow a Support representative to schedule a time resulting in the least impact on your staff and their daily operations.
